We collect personal information from you, including information about your:
• name
• contact information
• interactions with us
• ID requirements.

We collect personal information about you, including information about your financial situation, goals, and personal circumstances, for the purpose of providing financial advice and related services, and to meet our legal and regulatory obligations.

We also collect this in order to:

• verify your identity.

• for ‘Anti Money Laundering’ compliance.

Besides our staff, we share this information with:
• Providers in order to offer suitable products and services. Eg) KiwiSaver and investment providers, insurance providers, auditors, CRM systems, other professionals and referral partners etc.

Providing some information is optional. If you choose not to enter personal information, we'll be restricted on what financial services we can offer.

We keep your information safe by storing it in secure files and only allowing certain staff to access it.

You have the right to ask for a copy of any personal information we hold about you, and to ask for it to be corrected if you think it is wrong.

We may use AI-powered tools to record, transcribe, and summarise meetings (including phone/video/in-person). This may involve audio recordings and transcripts of discussions about your financial situation.

Purpose:

• To improve accuracy of advice records

• To ensure compliance with regulatory requirements

• To reduce administrative errors

Meeting recordings and transcriptions

When we use a recording bot to capture our meeting, the transcription is processed and then stored securely in our client management system (our CRM). The bot service itself does not permanently retain your transcript — once it has been transferred into our system, it is removed from the recording platform.

AI processing

When I use AI to help me draft summaries or prepare documentation like your scope of service, your information is processed by an enterprise-grade AI platform. Importantly:

• The platform we use does not train its AI models on your data — your information is never used to teach or improve the AI

• Once your information has been processed and the output returned to me, it is deleted from the AI platform's systems

• Your data is not retained, shared, or used for any purpose beyond generating that specific output.

Where your information lives

The only place your personal information is stored long-term is within our secure CRM database, which is encrypted and access-controlled. It is not held by any third-party AI service.

Retention and Security:

Recordings and/or transcripts will be kept for a minimum of 7 years (as that is our regulatory requirement), or longer if deemed necessary. All client records, including these recordings and transcripts are protected in the same way that all other electronic files are safeguarded within our system.

By signing below (or by continuing to engage our services after being notified), you consent to the collection, use, storage, and disclosure of your personal information as described above. If you prefer not to be recorded, we can take manual notes instead. You may withdraw your consent to specific uses (such as meeting recording) at any time by notifying us, although this may affect our ability to provide services.”
